Job Creation and Dispatch

Job creation and dispatch is the key to productivity. Once you have work, the way that work is transferred from person to person with some type of a paper trail will determine how productive your company will be. We have seen methods as simple as a text of the dispatch to several companies at once to email blasts asking for carriers to work, to expensive systems that have hardware installed in the trucks. Most of the work that gets done in bulk hauling however and especially in the oilfield is dependent on paper tickets for the paper trail. With Ansible, you will be able to electronically create your job with all of the pertinent information needed. These fields include job name, number of trucks required, start date, projected end date, who the job is billed to, who the job is hauled for, material type, pick up location name, directions to the pickup location, GPS coordinates for pick up location, CB channel for pick up, drop location name, drop location supervisors name, directions to drop location, GPS coordinates for drop location, CB channel for drop location, job type (ie hourly, tonnage, BBL, etc.), job rate, estimated round trip time, and also an option to include paid drive time.

After your job has been created by populating these fields, you are able to dispatch this job to any of the fleets in your network with the click of a button. Notification will be sent to you after not only the companies, but also the individual drivers have accepted your job. A permanent record of this job has now been created and there will be now doubt as to whether the dispatch has been received and accepted.

 

Job Acceptance and Re-dispatch

As a broker, fleet manager, or owner operator once you have a notification that you have been requested to work on a job, you will be able to accept the job and dispatch this job to your individual drivers or other fleets in your network. From here the rates can be modified for the brokers to re-dispatch as well. When accepting the job, you will send the number of trucks you are sending along with any notes to the job originator. Your individual drivers will accept or decline this dispatch with notes and a total count of the trucks for the job is created. This process has been automated to take the confusion out of whether or not the dispatch was received by the carriers as well as their drivers. Graphs are also created for a quick reference as to how many drivers have accepted vs. the number of trucks needed for an at-a-glance reference of where you are with having the requirements filled for the job.

 

GPS Tracking

There are few things more frustrating as a manager, no matter where you place in the food chain, than getting that call that your trucks did not show up. If you are in the industry, then you know what we are talking about. 4 o’clock in the morning and the phone rings….. No one likes having to figure out where their trucks are first thing in the morning, in the middle of the night or even in the middle of the day. With Ansible, everyone that is driving for you can be located via GPS. When you are looking for the trucks on the job, pull up a map of the trucks on the job and see their location. Click on the icon for the one that is not where they are supposed to be and instantly have their contact information so that you can call them directly to find out if they are lost or broke down. If you haven’t heard from your truck for a while or need to divert one of your drivers, look to see who would make the most sense to get a hold of. This feature provides tools not only to be more profitable, but also provides a safety net to ensure that your drivers get to and from the job safely and do not get lost or end up broke down without anyone knowing where they are. Working conditions for these drivers are often harsh and Mother Nature plays a part in the day to day operations as well. We believe that this feature has the ability to save lives in some of the most adverse conditions.

 

Job Ticketing System

Job tickets are how a company truly gets paid. If your company is using job ticket books that the driver has to fill out on a daily basis, then you have a lot of unnecessary risk that you are taking on. Job tickets notoriously get lost, misplaced, destroyed, are illegible, or just do not contain all of the information needed for a the ticket to get paid. With Ansible, when the job is created, the job originator is actually filling out a lot of your ticket information for you. Another large portion of the information is entered by your fleet manager when they set up your companies profile. Quite honestly, when it comes to the driver, the only information that they need to enter is when they pick up and drop off their load as well as what the quantity of that load was. The way this works with Ansible is that the driver starts their day by choosing the job that they will be working on that day from a list of job that they have been dispatched to. Once they “start their day” they are taken to a pre-trip screen where they only have to choose the vehicle combination they are driving from a prepopulated list, enter the odometer, check for defects, and enter notes. Once they arrive to the pick up location, they “check in” thru the app, enter their first load, and continue on their way. When they get to the drop location, it is as simple as clicking the “unload” button and confirming that choice, then heading back for another load. At the end of the day, the driver has the ability for the supervisor to “sign” this job ticket by having them enter their 4 digit pin into the app that was previously emailed to them when the job was created. Before leaving the drop off location, the driver will be able to upload the load slips for the day as well as any other documentation that he needs to electronically attach to their job ticket. Upon arriving back to the yard, the driver chooses “end my day”. They are then taken to the post trip screen to finish their DVIR. When any entry into the application is done by the driver, the GPS location is recorded as well as a time stamp. All of the information gathered for the day is then compiled into your job ticket. This will be the most complete job ticket you will ever have and it is guaranteed to be legible as well! This will make everyone that has to decipher these tickets happy.

 

Invoicing with accounting integration

Between the dispatch and the job ticket – you have all the information you need to create invoices. Why constantly re-enter this information into your accounting system? The more information is transposed and reentered, the more opportunities arise for clerical errors. On top of these errors, there are countless hours of wasted time and productivity due to repetitive and unnecessary data entry. Ansible will give you the ability to download your payables and receivables through an Excel file for use with your accounting program. With this feature you will be able to simply visually compare your uploaded load slips against the information that the driver entered into the application to ensure accuracy, make any changes if necessary, and create your invoice. If you are a broker, you will be able to create a invoice into your accounts receivables as well as a bill into your account payables.
